Archival Guidelines

When to archive expired contracts:
ScenarioRecommendation
Renewed with new contractArchive after new contract uploaded
No renewal plannedArchive after final accounting
Dispute or litigationKeep active until resolved
Historical reference neededKeep active with “Historical” tag
Archived contracts remain searchable and accessible. Archiving simply moves them out of active views.

Best Practices

Check expired contracts monthly to identify renewal opportunities.
Use tags like “Renewal Candidate” or “Re-sign Priority” to track opportunities.
Add notes explaining why contracts were not renewed for future reference.
Establish a policy for when to archive (e.g., 12 months post-expiry with no activity).
